We’re looking to hire a part-time (with potential to become full-time) Operations Manager, to support all areas of Unison Media’s work by addressing inefficiencies, organizing workflows, and ensuring the team operates smoothly. Key Responsibilities:
- Operational Support: Assist with the day-to-day operations of the company, including managing email communication, coordinating schedules, and tracking project timelines to ensure all deadlines are met seamlessly. Take on ad hoc tasks as they arise, ensuring nothing falls through the cracks.
- Process Improvement: Identify inefficiencies in workflows or operational systems and suggest practical, actionable solutions to optimize the team’s productivity and effectiveness. Regularly revisit processes to ensure they evolve with the company’s needs.
- Team Coordination and Morale: Act as a central point of communication to ensure alignment across all team members, helping to bridge gaps and clarify responsibilities. Facilitate the well-being of the team through regular check-ins, providing support, and promoting a collaborative and positive work environment. Coordinate with HR specialists to support initiatives like team engagement, onboarding, and addressing employee needs. If remote, manage in-person tasks by outsourcing to contracted workers, ensuring all operational and logistical needs are met efficiently.
- System Maintenance: Take ownership of managing software tools, CRMs, and project management systems. Regularly audit these tools to ensure they are being used to their full potential, troubleshoot any issues, and keep the team updated on best practices.
- Inbox & Workflow Management: Proactively manage incoming tasks and priorities to reduce the President’s bandwidth constraints. Take ownership of recurring or administrative responsibilities.
- Invoicing and Financial Coordination: Support the invoicing process, including creating and managing client invoices. Track payment statuses and collaborate with the team to resolve discrepancies when needed, ensuring accurate and timely financial management.
Qualifications:
- 2+ years of experience in an operational or administrative role.
- Exceptional organizational skills and attention to detail.
- Self-motivated with a demonstrated ability to learn new systems and tools independently.
- Strong communication skills, with a friendly and efficient approach.
- Interest in classical music or arts management is a plus.
Compensation:
- Hourly rate starting at $23/hr butcommensurate with experience.
- Flexible hours, with opportunities for role expansion based on performance and company needs.
